Scheduling Policy

  • Following are examples of possible scheduling restrictions in case we ever need to restrict things.  So far we have never had to use any.  Club members have always respected other member's needs and desires.  On the rare occasions when we have had conflicts, a phone call and schedule swap works things out.  In 2009 there were only three days when one or the other airplane was not available for a flight.
  • The club airplane will be available for cross-country flights to the maximum extent possible while supporting local proficiency and upgrade training. Therefore, the following policies will govern scheduling:
  • Reservations may be made anytime prior to noon on the day prior to flying. Each flight period not reserved by noon the preceding day will be available first come/first served. The airplane must be made available to the next in line at the end of each non-reserved flight period.
  • Flight periods are: 000-0800L, 0800-1200L, 1200-1600L, and 1600-2359L. Members will be committed to at least 40 minutes of flying time for each flight period reserved. Sharing flight periods is encouraged. Call the person who has a reserved period and arrange your flying too.
  • The airplane may be reserved for cross country flying, nine day limit, except ten weekdays and four weekend days each month. Once the cross-country quota is filled, reservations may not exceed two consecutive time periods.
  • Cross country flying will be allotted primarily through lottery Scheduling, however, any time not reserved for local training (ten weekdays plus four weekend days) may be reserved for cross country flying. Non- lottery cross-countries will be subject to more severe cancellation penalties
    1. An annual lottery will determine long-range priorities for flying. Each member in sequence of lottery number drawn will have an opportunity to reserve up to seven days of flying at a minimum rate of one and one half hours per day. Monthly cross- country quotas still apply. The first lottery will be held as soon as possible after club flying begins, subsequent annual lotteries will be held eleven months later for the period beginning twelve months later.
    2. A quarterly lottery will be held to determine midrange priorities for flying. Procedures and quotas will be the same as for the annual lottery. The first quarterly lottery will be held two weeks prior to the second quarter of club flying for the next quarter and quarterly thereafter.
    3. Lottery reservations, which are cancelled due to unscheduled maintenance, will entitle their holder to a higher lottery position in the next lottery of the same type.
  • Cancellations of reservations are a fact of life but penalties will be used to keep them at a minimum.
    1. Cancellations, except for medical emergencies, weather less than club VFR minimums plus 50%, or family emergencies approved by the club board, will be charged at the rate of 40 minutes per reserved period.
    2. Lottery reservations may be cancelled without penalty until the number of days in the reservation prior to the reservation date; i.e. seven days prior to a seven-day reservation or three days prior to a three-day reservation. After that the penalty will be 15 minutes for each reserved period. Exceptions are the same as basic cancellations.
    3. Each member gets two "SILVER BULLETS" per calendar quarter. Each silver bullet waives one period of cancellation penalty.
  • Common sense exceptions: The club board may make any exceptions to these policies that make sense to them. All exceptions/waivers will be made known to all members through newsletter or e-mail notification.
